General contents of a Stipendium Hungaricum long-term accomodation contract sample
- The Student-Hostel guarantees one dormitory place by Standing Orders of University of Sopron’s Fekete Zoltán Student-Hostel and Machatsek Gyula Student-Hostel (henceforth: Standing Orders), for the following period and for a predefined accommodation fee.
- Exact period of the reservation: 1 September 202_ – 31 August 202_
- Occupied space:
- Building: VUK (9400 Baross u. 4-6.)

- Accommodation fee: 40000 HUF/month (paid directly by the university)
- The Student-Hostel guarantees:
- basic and other claimed services defined by the Act on Higher Education and the connected governmental order 87/2015 k.v., 5 §,
- a cleaned dormitory room at the time of moving in; regularly cleaned common rooms and public places during school year; periodically cleaned dormitory rooms at RK, ÚK and VUK buildings (RK and ÚK once a week, VUK twice a week),
- bed linen at the time of moving in, for a temporary time, for a predefined fee (except of VUK), and the change of bed linen every two weeks,
- receiving phone messages, mails and other postal matters,
- the daily removal of the garbage from dormitory rooms,
- security cameras on public places and the blocking of unauthorized persons’ entry,
- marking the Renter’s name on the door of the room.
- The Renter’s obligations:
- signing the room inventory on move-in day and keeping the House Rule (see at the reception desk, or online at: http://uf.nyme.hu/dormitory/ ).
- paying one-month deposit on the day of moving in,
- keeping the room clean and bearing the full financial responsibility of its condition, equipment, and items listed on the room inventory,
- reporting immediately any failure or damage to the caretaker of building. If not, 10% more over the caused damage must be paid.
- If the dormitory accommodation ceases for any reason (e.g. disciplinary matters, withdrawal of scholarship holder status, etc.), the Renter must check out of the dormitory according to the process of moving out (see Article 20.) and leave the building within 3 days.
- Storing the garbage in an unpermitted way (for example garbage bag left in a corridor) is subject to a 5000 HUF penalty each time. The same penalty applies each time if a “blind alarm” of the smoke detector in the room is triggered.
- Covering smoke alarms is FORBIDDEN! The proper operation of signaling devices are regularly checked. In the event of an irregularity, a fine of 20,000 HUF shall be paid. In case of disruption of the fire alarm equipment, the relevant Government Decree requires the imposition of fine of 200,000 – 2,000,000 HUF based on the disaster management inspection. This fine must be paid by the Renters of the apartment concerned, as roommates have collective responsibility for the general condition of their room.
- Breaking the Act on the protection of non-smokers carries a fine of 5,000 HUF per occasion on the spot.
- It is forbidden to use electric devices that present a fire hazard or are high-power (min. 2000 W) and not permitted, or disturb the operation of the Student-Hostel in another way (e.g. WiFi routers). Such devices will be confiscated and their repeated use involves a Student-Hostel ban.
- Any caused damage to the equipment of Student-Hostel shall be compensated by Renter.
- Roommates have collective responsibility for the general condition of their room until the day of moving out.
- In special cases (e.g. a conference), room will be given over for hostel guests (max. twice in a semester) without disturbing studies and preparing for exams. For those days, the Renter will be compensated in the ratio of accommodation fee by the Student-Hostel. The Renter should be informed 15 days prior to the moving out.
- The Student-Hostel can change the Renter’s dormitory place to another in cases for example:
- places remained free after the moving-in period
- places become vacant during the academic year
- during the period of VOLT Festival
- during the summer period (July, August)
- any other justified cases (Rector’s Decree, governmental decree).
- Payment for basic and additional services shall be paid at the reception of the Student-Hostel (cash or card) or by transferring the money to the given bank account.
- The Renter can change dormitory place to another depending on capacity after approval of the management of the Student-Hostel.
- Disciplinary proceedings can be launched by the coordinator of Student-Hostel against the Renter, if rules of Standing Orders, Policy or anything laid in this contract are violated seriously or repeatedly by the Renter (e.g. causing damage to the Student-Hostel, deliberately harming roommates, having guests overnight without permission, remodeling something in room without permission, handing over the entry card to a third person). Disciplinary process will be conducted according to the rules of the Student-Hostel’s and the University of Sopron’s Disciplinary Regulation.
- Enforcing the rules of Policy are under the control of the institutional coordinator, the caretaker of building, the security guard, the receptionist, and the members of the Dormitory Council.
- This contract was created with a duration of a 12-month period (1 September – 31 August) which can be divided into 3 parts:
- part: 5 months for the autumn semester (1 September – 31 January)
- part: 5 months for the spring semester (1 February – 30 June)
- part: 2 months for the summer period (1 July – 31 August)
The Renter can terminate the contract according to the following rules:
- In the autumn semester, the request for terminating the contract shall be submitted until 15 December and will take effect on 31 January.
- In the spring semester, the request for terminating the contract shall be submitted until 15 May and will take effect on 30 June.
All 3 parts of the 12-month period that have been started by living in the dormitory count as a whole. For instance, the Renter living in the dormitory during the spring semester submits the request for terminating the contract until 15 May, cannot have the accommodation allowance for June, only for the next part of the 12-month period (In this case, s/he can receive the accommodation allowance for July and August.)
- Process of moving out of the dormitory:
- The Renter must hand the key and the entry card over to the receptionist and sign the document of moving out.
- The caretaker of the building will check whether the room is in the same condition as before the moving in (clean and undamaged room without any personal belongings in it). If not, the cleaning fee or the amount corresponding to the damage caused will be deducted from the deposit.

- Claiming unawareness of these rules and directions does not exempt anybody from their observance
General contents of an Erasmus long-term accomodation contract sample
- The Student-Hostel guarantees one dormitory room by standing orders of University of Sopron’s Fekete Zoltán Student-Hostel (9400 Sopron, Ady Endre út 5) and Machatsek Gyula Student-Hostel (9400 Sopron, Baross u. 4-6) (henceforth: Standing Orders), for a limited period and for a defined accommodation fee.

Accommodation fee: 650 € / semester (5 months)
- The Student-Hostel guarantees:
- Basic services and other claimed services defined by the Act on Higher Education and the connected governmental order 87/2015 k.v., 5 §,
- Clean dormitory room upon moving in, regularly cleaned common rooms and public places during academic year, periodically cleaned dormitory rooms at VUK twice a week.
- At the time of moving in, the Student-Hostel can offer bed linen for a temporary time for a predefined fee and a change of bed linen every two weeks.
- Daily garbage removal from dormitory rooms.
- Block the entry of unauthorized persons; security cameras on public places.
- The Renter’s obligations:
- Sign the room inventory on move-in day and keep the House Rule (see at the reception desk, or online at: http://uf.nyme.hu/dormitory/).
- Keep the room clean, also accept full financial responsibility for its condition, equipment, and items listed in room inventory.
- Any failure or damage shall be reported immediately to the caretaker of the building. If not, at least 10% the damage caused must be paid.
- If dormitory accommodation has ceased for any reason (disciplinary matter, breaking of student term, etc.) the Renter has to check out and leave the building within 3 days – after room inventory has been accounted for and signed by both parties.
- Storing the garbage in an unpermitted way (for example garbage bag left in a corridor) is subject to a 5000 HUF penalty each time. The same penalty applies each time if a “blind alarm” of the smoke detector in the room is triggered.

- Before moving out, any rented items for personal use shall be returned and room equipment has to be accounted for and signed off by the caretaker of the building. The room must be left in a cleaned condition.
- In special cases (a conference for example), rooms may be given over for hotel guests (max. twice in a semester) without disturbing studies and exam preparations. On those days, Renter will be compensated in the ratio of accommodation fee by the Student-Hostel. The Renter should be informed 15 days prior to the moving out.
- The Student-Hostel can change the Renter’s dormitory place to another in the following cases:
- places remained free after the moving-in period
- places become vacant during the academic year
- This contract was created with a duration of a 10-month period (1 September – 30 June), which can be divided into 2 parts:
- part: 5 months for autumn semester (1 September – 31 January)
In the autumn semester, Renter can indicate the intention of moving out in a written letter to
dormitory@uni-sopron.hu until 15 December and must check out by 31 December. After moving out, Renter is entitled to have the Student-Hostel return the deposit and accommodation fee for January.
- part: 5 months for spring semester (1 February – 30 June)
In spring semester, Renter can indicate the intention of moving out in a written letter to
dormitory@uni-sopron.hu until 20 March and check out by 31 May. After moving out, Renter is entitled to have the deposit and accommodation fee for June returned by the Student-Hostel.
- Renter has to pay the accommodation fee for the current semester in one amount (5 months accommodation fee), until the last day of the registration week.
- Payment for basic and additional services defined by the University Senate shall be completed at the Dormitory Reception by the defined deadline.
- In case of non-payment by the deadline, Renter must pay late interest from the first day of delay. The late interest is set according to the actual basic interest of Magyar Nemzeti Bank. Late interest will be attached to the demand note automatically.
- If Renter does not pay on time, the Student-Hostel will send a demand note containing the payable amount via dormitory@uni-sopron.hu. If Renter does not pay for 30 days after deadline expiration, Student-Hostel has the right to terminate the contract, civil litigation will be launched, and Renter must move out within 3 days.
- Tenant relationship of a non-paying Renter can be ceased after examination of social status only. If the reason of default is connected with the Renter’s or the family of Renter’s social status or income and these can be proved, Renter has the right to delay once a semester, as described in Point 3.
- The signing of this contract is obligatory before moving in to the Student-Hostel. Renter cannot have any arrears against the Student-Hostel (if Renter had a dormitory place here last year). In the autumn semester, the completed payment process of the accommodation fee (5 months’ fee in one amount) and payment of the deposit by 10 August are necessary. In the spring semester, the completed payment process of the accommodation fee (5 months’ fee in one amount) and the deposit by 10 January are also necessary.
- The coordinator of Student-Hostel can launch disciplinary proceedings against the Renter for serious or repeated violations the rules of Standing Orders, Policy or anything laid in this contract. (For example causing damage to the Student-Hostel, deliberately harming roommates, unpermitted overnight guests, unpermitted room modifications, handing over the entry card to an unauthorized individual). Disciplinary proceedings will be implemented according to the rules of Student-Hostel’s and University of Sopron’s Disciplinary Regulation.
- Enforcing the Policy rules are under control of the institutional coordinator, building caretaker, security guard, receptionist, and members of Dormitory Council. These persons have the right to identify students within the territory of the Student-Hostel.

House rules
I. General rules
- Renters can only check in the room designated by the Dormitory. After checking-in, and signing the Long-Term Accommodation Contract, guests can occupy the designated room. They take over the financial responsibilities regarding the furniture and other equipment by checking and signing the inventory. This also applies for the keys of the room and for the entry card provided by the dormitory.
- During checkout, it is the Renters’ responsibility to leave the room in the condition it was when they moved in. The cost of additional cleaning work related to the rearranging of the furniture, leaving personal belongings in the rooms, or leaving the rooms unclean can subtracted from the Renters’ deposit. During checkout, the key of the room and the entry card should be left at the reception.
- Temporal relocation of equipment from community rooms is only possible after a written request and with the permission of the Deputy Director of the Student Hostel.
- Damages or malfunctions of any equipment or furniture should be immediately reported by the Renters.
- Dormitory fee applies for every Renter, stated by their Accommodation Contract. Dormitory deposit can be transferred back to the Renters, after a written request stating their transfer data and after making sure by the dormitory staff, that the rooms have no possible damages. We cannot guarantee to provide the deposit back in cash at the departure.
- Renters are required to send a written request (and wait for the permission of the Deputy Director) when they want to use community rooms, insider closed garden or fire places for events. Cooking and baking are exclusively possible in the commune kitchens.
- Consuming alcoholic drinks in the halls of the Students’ Hostels is forbidden.
- In the premises of the Student’s Hostel, every Renter must adhere the general rules of fire-protection (e.g.: open fires in the building, devices related to fire hazards and manipulating the fire detectors are forbidden) and accident prevention protocol.
- The tidiness of the rooms and the condition of their furnishings will be inspected regularly by the dormitory staff (administrator, caretaker, Dormitory Committee member and building overseer). At their request, everybody must identify themselves (presenting their student card or ID card).
- The usage or storage of any device, substance or object that possesses public safety hazard are forbidden.
- Any activity endangering the safety of oneself and others is forbidden.
II. Community behavioural rules
- The Renters of the Student’s Hostel are obliged to adhere the written and unwritten rules of community coexistence during the use of the Student’s Hostel. The volume of any equipment must be kept at such an extent that it does not interfere with the wellbeing of others. It is forbidden to engage in activities in the Student’s Hostel area that interferes with the tranquility of other guests and residents of dormitories.
- The building of the Student’s Hostel is equipped with several smoke detectors. Smoking inside is forbidden! It is only allowed at the designated areas.
- Manipulating the fire detectors are forbidden. The usage of any heating device, except the provided microwave oven, is forbidden in the rooms. These devices (e.g.: electric stove, mini grill, etc.) can only be used at the designated cooking areas.
- Keys and entry cards cannot be transferred. They can only be used by the person mentioned in the accommodation contract.
- Any modification in the room can only be done with the permission of the building owner. Maintenance and assembly work can only be performed by dormitory staff!
- Perishable food can only be stored in the fridge.
- Keeping clean of the living areas (not included the toilet, the hall and the shower areas) is the responsibilities of the gests. Cooking is not allowed in the rooms. No food residue shall be left in any part of the room. The sink cannot be used to dispose any leftover food.
- At the VUK building, bed cloth may be requested by the Renters.
- Waste or any unwanted item cannot be left in the hallways.
- Rapidly deteriorating waste or large waste can only be taken to the garbage container outside.
- Any accidents or infectious disease must be reported at the Reception immediately.
- All guests can receive visitors in their room from 7.30 am to 1.00 pm with the agreement of their roommates. Upon entry, the visitor must present a pictured ID on the Reception.
- Students may “take in” a guest in their room after notifying the receptionist, for HUF 1500/person/night, presenting the written consent of their roommates. This is allowed for maximum 5 nights in a month for one person.
- When leaving rooms, doors must be locked and students must keep the keys and cards. Giving these to another person is FORBIDDEN.
- High-value and/or high-power electrical devices (operated durably, higher than 2000 W, such as TV, refrigerator etc.) may only be brought in only after a prior permission. The Student’s Hostel shall not be liable for damages resulting from equipment and operation. The relevant rules of contact protection must be kept.
- Animals kept in aquarium, terrarium or birds kept in cage may be permitted after a written request and written approval of roommates.
- The disabled entrances and access points must be kept free. Bicycles can only be stored at the designated places.
Against policy violators, disciplinary action may be initiated under the Student’s Hostel’s Discipline Code and the Accommodation Contract.
